Working with Global Shift Categories

Only Enterprise Admin users can configure global shift categories and partitions. Changes users make to global shift categories and partitions in Clairvia Web do not affect the profile shift categories and partitions used in Staff Manager Client.

Overview

A shift category is a defined 24-hour staffing day. Shift categories are then divided into shift category partitions to mark the primary shift lengths for the profile. Staff Manager uses shift categories and partitions as part of the scheduling process, and each profile defines its own shift categories and partitions. For example, Profile A might have a shift category called Nursing with three 8-hour partitions named Day, Evening, and Night. The three 8-hour partitions make up the 24 hours of Profile A's staffing day.

Beginning with Clairvia Web 7.0, Cerner Corporation introduced the concept of global shift categories and partitions to streamline reporting across profiles. Currently, these global shift categories are only used with the optional Assignment Manager application, but they will receive greater use in future versions of Clairvia Web.

All profile-defined shift categories and their partitions are automatically moved into Clairvia Web when any application version 7.0 or later is installed. Clairvia Web combines profile shift categories/partitions with identical information into one global shift category and assigns the new shift category to each of the profiles. Profile shift categories with unique information are left separate and assigned to their parent profile.

You can add, edit, and delete global shift categories and partitions using the Shift Category/Partition page. You should be aware, however, that global shift categories and partitions cannot be deleted if they have data associated with them. If a shift category is the default Patient Assignment shift category for a profile, or if a shift category partition has been used to assign patients in the optional Patient Assignment application, you are unable to delete them.

Creating a Global Shift Category and Partitions

Complete the following steps to create a global Shift Category and its partitions:

  1. From the Configure menu, select Shift Category/Partition. This opens the Shift Category/Partition page.
  2. To create a shift category:
    1. Click Add Category. This opens a new editing row in the Shift Categories area.
    2. Enter a Shift Category Name in the box. For example, you might name a nursing shift category Nursing.
  3. To add a partition to a shift category:
    1. Click the Shift Category row that needs the new partition.
    2. Click Add Partition. This opens a new editing row in the Shift Category Partitions pane.
    3. Enter a Partition Name. For example, you might name a partition running from 7:00 a.m. to 3:00 p.m. Day or 7a-3p.
    4. Enter a Start Time for the partition. A day partition might start at 7:00 a.m. or 8:00 a.m., while a night partition might start at 11:00 p.m. Clairvia Web fills the End Time box automatically based on the other partitions in the Shift Category.
    5. Enter a value in the Spill-Over Front Minutes box. Typical values are 31, 61, and 121.
    6. Enter a value in the Spill-Over Back Minutes box. Typical values are 31, 61, and 121.
  4. Click Save All.

Editing a Global Shift Category or Partition

Complete the following steps to edit a global shift category or partition:

  1. Open Clairvia Web.
  2. From the Configure menu, select Shift Category/Partition. This opens the Shift Category/Partition page.
  3. If editing a shift category:
    1. Select the shift category row.
    2. Make changes to the Shift Category Name box.
  4. If editing a shift category partition.
    1. Click the partition's shift category row. The Shift Category Partition pane displays the partitions.
    2. Select the partition row.
    3. Make changes to the following items, as needed:
      1. Partition Name
      2. Start Time (You cannot edit the End Time box, as Clairvia Web completes this box automatically based on the start times of other partitions in the Shift Category.)
      3. Spill-Over Front Minutes.
      4. Spill-Over Back Minutes.
  5. Click Save All.

Deleting a Global Shift Category or Partition

  1. From the Configure menu, select Shift Category/Partition. The Shift Category/Partition page opens.
  2. If deleting a shift category:
    1. Click the shift category row to select it.
    2. Click the Delete icon at the end of the row.
  3. If deleting a shift category partition.
    1. Click the partition's shift category row. The Shift Category Partition pane displays the partitions.
    2. Click the partition row to select it.
    3. Click the Delete icon at the end of the row.
  4. Click Save All.

Global shift categories and partitions cannot be deleted if they have data associated with them. If a shift category is the default Patient Assignment shift category for a profile, you cannot delete it. If a shift category partition has been used to assign patients in the optional Assignment Manager application, you cannot delete it.
