Managing Requests

You manage requests with the Administer Requests page. You open this page from the Schedule menu by selecting Administer Requests.

This topic gives you general information about managing requests. For information on approving, wait listing, or denying requests, see Processing Employee Requests.

How Requests are Coded

Request status is indicated by the background color of the request and a two or three letter code.

Requests from employees in other profiles (that is, requests from float employees or employees with secondary jobs in the selected profile) are followed by the employees' home profile abbreviation in parentheses, such as RHiggins: PEN Request (5W). The Quick List also displays the profile abbreviation.

If an employee has added a note for the scheduler, the request displays a white note icon . If there is no employee note, but you (or the scheduler) have written a note to the employee, the request displays a yellow note icon . You can read notes by positioning your cursor over the icon or by right-clicking the request and selecting Details. All notes display on the detail page of the requests for all user types.

Recurring requests are marked with the Recurring icon.

Dates where you cannot edit requests have gray backgrounds. For example, if Clairvia Web is configured so that you can only edit requests for the next three days, dates beyond that have gray backgrounds. Past dates also have gray backgrounds, as you cannot edit requests in the past.

If you expect schedule or request data to display and it does not, you should make sure that an active filter is not affecting the schedule view.

Making Tasks Available or Unavailable for Requests

Schedulers designate which tasks employees can request using Staff Manager Client. On the Task Control tab of the Assignments dialog box, schedulers must select the options Show in the Web and Allow Requests. Once these two options are selected, schedulers and managers can also limit the number of requests Staff Manager accepts for a task using the Limit Requests option.

Employees are not able to request assignment to any tasks defined with a staff number of zero (0) for a day in the Staff Manager Client Staff Table. Employees also cannot make a request for a task if the task's staffing need is zero (0). The Skill Coverage table of the My Requests page shows employees the coverage needs for their skills using the numbers on the Staff Manager Client Core Coverage dialog box.

The Quick List for Requests

The Quick List is found on the Administer Requests page. The Quick List displays a list of all requests for the current profile with statuses of pending or wait listed. The list includes requests for up to the next 365 days, depending on whether your configuration for Managed Access to Requests sets limits on how far in advance requests can be entered.

Each request is displayed as a hyperlink; pending requests are displayed as blue hyperlinks, and wait listed requests are displayed as orange hyperlinks. When you click a link in the Quick List, Clairvia Web refreshes to display the date, task, and skill in the request grid containing that request.
